From First Email to Loading Day: The Real Timeline of Buying a Packing Machine
A sauce producer in Ghana wrote to us in March with a launch date in June and a simple question: when do we need to order the machine? He had already received a quotation from another supplier promising delivery in 15 days. We sent him our real timeline instead, he planned backwards from it, and his line shipped on schedule in May. He launched on time. The supplier promising 15 days is still promising — to someone else.

The Timeline Nobody Prints
Here is the honest sequence. Week 1–2: inquiry, product discussion and samples — yours must reach the factory, because every serious answer starts with your actual product. Week 2–3: the filmed trial run and the quotation. Week 3–4: contract, deposit and engineering confirmation — this is where bag dimensions, voltage and film specifications get locked. Week 4–9: production, which for a standard machine is 30 to 45 days, not 15. Week 9–10: inspection, crate packing and booking. Week 10–16: sea freight to West Africa, or 25 to 40 days to most ports. Our full process page shows the same chain with the details filled in.
Where Buyers Lose Six Weeks
Almost nobody loses time in production — factories run production lines every day. Buyers lose time before and after. Sending product samples takes three weeks when customs holds them. Approving the trial film takes ten days because the design agency is busy. The deposit arrives eleven days after the invoice because the bank asks questions. Then the buyer changes the bag size mid-production and wonders why the machine is late. Every one of these delays is a buyer-side delay, and every one of them is avoidable once you know the chain exists.
Work Backwards From Your Deadline — Honestly
Take your launch date, subtract sea freight, subtract production, subtract the decision period, and the date you get is your inquiry date. If the math says you needed to order nine weeks ago, you have three honest options: move the launch, pay for air freight on a smaller machine and ship the big one by sea, or buy a semi-automatic machine locally while the automatic line is built. What you should not do is compress the factory — a machine built in half the time is a machine you will meet again in the service emails. If you are comparing suppliers at the fair this month, our buyer’s checklist includes the delivery-promise questions that expose trading companies, and our trials article explains why the sample stage takes the time it takes.
FAQ
How long does a packing machine take to build?
Standard machines: 30–45 days from confirmed drawings. Custom configurations: 45–60. Anyone quoting under three weeks for a standard machine is quoting someone else’s inventory.
What is the single biggest cause of delay?
Unconfirmed specifications. Every drawing revision after production starts costs a week. Lock bag size, film, voltage and product spec before the deposit.
Can I visit the factory during production?
Yes — Foshan is an hour from Guangzhou, and we film machine tests for buyers who cannot come. Seeing your machine run before it is crated is the cheapest insurance in this industry.
